Role Summary

Administrative Assistant responsible for providing comprehensive administrative support to the department, including managing calendars, coordinating travel, facilitating meetings and events, processing expenses, preparing presentations, and supporting department operations.

Responsibilities

  • Provide administrative support, including calendar management, travel arrangements, meeting coordination, processing expenses, conference registration, organization chart maintenance and correspondence handling.
  • Facilitate onboarding and account setup for new team members, including hardware and system access requests.
  • Initiate, process, and track Statements of Work (SOWs) and Purchase Orders (POs) in coordination with finance and procurement teams.
  • Oversee and support invoicing, payment tracking, and vendor communications to ensure timely compliance with contracts.
  • Prepare reports, presentations, and other communications using current business software (such as Microsoft Office Suite, Teams, Adobe Acrobat, and other relevant tools).
  • Ensure adherence to all relevant corporate and divisional policies and regulatory guidelines, while accurately managing departmental records and documentation.
  • Act as a point of contact for internal and external partners
  • Organize team events, workshops, and virtual meetings leveraging modern collaboration platforms as needed.
  • Support and train new or junior administrative team members as needed

Qualifications

  • High School diploma or equivalent. Some college preferred.
  • 2+ years previous admin experience
  • Intermediate to Advanced knowledge of Microsoft Office, Acrobat, DocuSign, Outlook and understanding of business processes and requirements
