Role Summary

Administrative Assistant, Data Science & Analytic Solutions

Role Overview: This position provides day-to-day administrative support to the Data Science & Analytic Solutions Lead and leadership team within Global Commercial Analytics (GCA). It supports the Data Science & Analytics Solutions group in building, scaling, and innovating data science solutions across the commercial value chain.

Responsibilities

  • Provide administrative support to the Data Science & Analytic Solutions Lead and Leadership team
  • Track and manage purchase orders, budget and invoices; help resolve issues related to invoice or project setup delays
  • Manage team communications including monthly newsletter and SharePoint / Microsoft Teams sites
  • Assist with onboarding of new colleagues and contractors
  • Update team organizational charts and distribution lists
  • Oversee scheduling, logistics, activities and handling of issues for team meetings, events and recruiting
  • Manage calendar of Data Science & Analytics Solutions Lead
  • Collaborate with other GCA Administrative Assistants for coverage and best-practices sharing
  • Manage special projects and initiatives as needed
  • Anticipate and proactively resolve issues; use diplomacy to resolve problems

Qualifications

  • Required: Undergraduate degree (BS/BA) or equivalent experience
  • Required: 3+ years of experience as an administrative assistant or coordinator
  • Required: Fluent in English (written and spoken)
  • Required: Strong working knowledge of Microsoft Word, Excel, PowerPoint, Outlook and Teams
  • Preferred: Ability to work in a fast-paced environment; self-starter, proactive, agile, solution-seeking mindset
  • Preferred: Demonstrated project management experience
  • Preferred: Business acumen, decision-making and flexibility
  • Preferred: Ability to navigate internal organization/processes
