Key Responsibilities:
- Manage complex calendars; schedule meetings and coordinate cross-functional activities; coordinate travel.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Serve as a liaison between leaders and internal/external stakeholders.
- Coordinate confidential personnel matters (hiring, onboarding, performance documentation, HR interactions).
- Maintain discretion with confidential, sensitive, or proprietary information.
- Support site-wide communications and initiatives led by the Site Director.
- Assist with planning/executing site events (town halls, leadership visits).
- Maintain awareness of site operations to anticipate administrative needs.
- Manage interview scheduling, expense reports, purchase orders, and other administrative transactions.
- Maintain organized filing systems (digital and physical) for Site Leadership Team documentation.
- Track and follow up on action items and deadlines.
- Support special projects; compile data and prepare summaries/reports for executive review.

Qualifications:
- High school diploma or equivalent (required); associateโ€™s or bachelorโ€™s degree (preferred).
- Minimum 4 years of administrative experience, preferably supporting senior leadership.
- Proven calendar management for multiple professionals (complex scheduling, time-zone coordination, prioritization); experience with Outlook/Exchange, Google Calendar, Calendly, Doodle.
- Strong Microsoft 365 proficiency (Outlook, Teams, Word, Excel, PowerPoint, SharePoint) and ability to manage shared drives, Teams channels, and digital filing systems.
- Excellent written and verbal communication.
- Event planning experience (e.g., town halls, onsite/offsite functions, investor meetings, client events).
- Expense reporting/budget tracking; travel/expense tools such as Concur/Expensify/SAP Concur.
- Strong judgment: prioritization under ambiguity; gatekeeping to protect executive time; escalate appropriately.
- Experience handling confidential/sensitive information with discretion and integrity.
- Board meeting materials/governance process experience.
- Strong time management and problem-solving.

Preferred Attributes:
- Experience supporting directors or multi-leader teams.
- Comfort in manufacturing/pharma/biotech/engineering/corporate environments.
- Ability to streamline processes and improve workflows.
- Strong initiative; able to work independently with minimal supervision.

Work Environment:
- On-site at a manufacturing facility; occasional flexibility in hours.
